When outfitting your business with the right office equipment, knowing precisely what devices you need is key. Copiers, fax machines and scanners all provide vital functions for processing paperwork in an office, but may not be necessary depending on your business’s needs. Comparing these devices against what you need can help you decide what equipment will help you keep things running smoothly.

Copiers, fax machines and scanners all serve different purposes within the office, despite having some similar characteristics. Copiers are designed to quickly scan text or an image from a piece of paper and reproduce it on a sheet of blank paper. Fax machines scan an image or writing on a piece of paper and digitally transmit the information to another fax machine, which prints a copy. Scanners read the information or images on a piece of paper and capture the information digitally as an image file, which can then be altered, stored or transmitted as necessary.
Similarities

All three devices have several similarities. All scan data from a hard copy and translate the data in one way or another, and all primarily use printed paper as their input source. Scanners and copiers typically use a flat, glass bed with a scanner and light that passes beneath the source material and scans it. Both scanners and fax machines interpret the image from the source material into a digital signal and transmit it to another source. Finally, both the receiving fax machine and a copier produce a secondary copy of the original source document.
Differences

Despite similarities, each machine differs from the others. Copiers do just that – they copy. They can make single copies or copy in batches, but all they do is reproduce the source material. Fax machines generally don’t produce a copy for the sender. The scanned information is intended for another user, and is sent to her via a phone line. In contrast to both, the scanner produces no copies at all and doesn’t transmit the information to another user; the scanner merely captures the information and digitizes it.

While stand-alone versions of copiers, fax machines and scanners exist, smaller businesses may do better to simply invest in one of the many “all-in-one” solutions available, which also operate as printers. These multipurpose devices may be slightly more expensive, but can save capital overall considering the aggregate cost of purchasing a copier, scanner, fax machine and printer individually.
